Privacy Policy

This Privacy Policy explains how FeelGuide Network LLC(“FeelGuideNetwork,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with FeelSuper. Because FeelSuper is used by clinical supervisors and their supervisees, we take particular care with sensitive data — please read the section on protected health information below.
1. Information we collect
We collect:
- Account information — name, email address, professional role, license or supervisor details, and your password or authentication credentials.
- Supervision records — supervisee profiles, tracked hours, supervision call logs, monthly check-ins, electronic signatures, and licensure-related forms and documents you create or upload.
- Billing information — subscription status and limited payment metadata. Card details are handled directly by our payment processor and are not stored on our servers.
- Usage & device data — log data, IP address, browser type, and basic analytics used to operate and secure the service.
2. How we use information
We use information to:
- provide, maintain, and improve FeelSuper;
- authenticate users, process subscriptions, and prevent fraud and abuse;
- generate the hour trackers, records, and forms you request;
- communicate with you about your account, security, and service updates;
- comply with legal and regulatory obligations.
3. Protected health information & HIPAA
Some supervision records may include protected health information (“PHI”) about clients served by a supervisee’s practice. Where a customer is a HIPAA-covered entity (or a business associate of one) and uses FeelSuper to create, receive, maintain, or transmit PHI, FeelGuide Network LLC acts as a Business Associate under HIPAA.
A Business Associate Agreement (BAA) is available and must be executed before PHI is stored in FeelSuper in that capacity. To request a BAA, contact hello@feelsuper.network. Where a BAA is in place, we handle PHI in accordance with its terms and applicable law.
Please minimize client-identifying PHI. Do not enter client names or other client-identifying protected health information into free-text fields, notes, or any AI-assisted features. Use initials or non-identifying references. These features are designed for supervision workflow — not for storing identifiable clinical records about clients.
4. Where your data is stored
Your data is hosted on Supabase, our managed database and storage provider, and processed by a small set of infrastructure and service subprocessors (such as our payment processor and transactional email provider) strictly to operate FeelSuper. These providers are contractually bound to protect your information, and where PHI is involved they are engaged under appropriate agreements.
5. We do not sell your data
We do not sell, rent, or trade your personal information or supervision records, and we do not use PHI for advertising. We share information only as needed to provide the service, to comply with the law or a valid legal request, to protect our rights and the safety of others, or in connection with a business transfer (subject to this Policy and any applicable BAA).
6. Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and at rest, access controls and authentication, row-level data isolation between accounts, and monitoring. No method of transmission or storage is completely secure, so while we work hard to protect your data, we cannot guarantee absolute security.
7. Data retention
We retain your information for as long as your account is active or as needed to provide the service, and thereafter as required to comply with legal obligations, resolve disputes, and enforce our agreements. You can request export or deletion of your data as described below; where a BAA applies, PHI is returned or destroyed in accordance with its terms.
8. Your rights
Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at hello@feelsuper.network. If you are a supervisee whose records were entered by a supervisor, some requests may need to be directed to that supervisor as the controller of those records. We will respond within the timeframes required by applicable law.
9. Children’s privacy
FeelSuper is intended for licensed professionals and is not directed to children. We do not knowingly collect personal information directly from children through the service.
10. Changes to this Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you. Your continued use of FeelSuper after changes take effect constitutes acceptance of the updated Policy.
